Access LMS Release Notes 9.6

This month’s release introduces some time saving functionality for Gamebrain creators, including the ability to create quizzes using existing questions. We’ve also made improvements to the data within reports allowing you to assess completion rates from year to year or month to month and we've given you the ability to export eCreator courses to SCORM.

Corresponding guides and videos will be updated or added to the Knowledge Base over the coming weeks.

We have indicated which version number each feature will be released in. To check which version your LMS is currently operating on, please refer to this Help Guide.

Add existing questions to a Gamebrain

When building a new Gamebrain, you can now import questions used in existing Gamebrains, making it quick and easy to build multiple quizzes which use the same or similar questions.

How does it work?

Navigate to the administration area of any Gamebrain via Content Manager. From the Question Manager, click Import. Tick the box next to any existing questions you want to import and then click Import Questions. The questions will now appear on the right-hand side of the Question Manager. If you edit an imported question in one Gamebrain activity, it will be updated in all other Gamebrains it appears in. You will not be able to edit questions which are part of any off-the-shelf licensed content library.

Who can use it?

If you have purchased Gamebrain for your LMS, Administrators and Content Creators can create and edit Gamebrains in Content Manager.

This feature is currently only available for clients using a full enterprise Access LMS.

Create Topics for new Gamebrains

Super Administrators can now create their own topics when creating new Gamebrain activities. Use topics to categorise your Gamebrains within the LMS making them easier for users to find when browsing Find Learning. You can also use topics in reporting.

How does it work?

When creating a new Gamebrain, Super Administrators can choose from an existing topic or create a new one. Topics are a quick way of categorising your Gamebrains and organise related quizzes. The topic can be updated later from the Details tab of the Gamebrain.

Administrators and Content Creators will only be able to select from existing topics.

Who can use it?

If you have purchased Gamebrain for your LMS, Administrators and Content Creators can create and edit Gamebrains in Content Manager. Super Administrators can create new topics.

Gamebrain Pre and Post-Game Learning

You can now add pre and post-game Wistia videos to the Gamebrain activity to reinforce the learning from the quiz.

How does it work?

Navigate to the administration area of any Gamebrain via Content Manager. In the Pre-Game Learning tab, add the title and image for the video. Click Image Library to browse and select from existing images or upload your own image. In the Wistia Video Activity box, search for the name of a Wistia video that you have already created on the LMS. Only videos that were created using the Wistia upload method will be available to select. This video will be shown to users before they start their quiz attempt.

Do the same in the Post-Game Learning tab for the video to be shown to users after their quiz attempt. The video will be shown to all users regardless of their Gamebrain score. You can also add an external URL if you would like to direct users to related learning outside of the LMS.

If you have purchased Gamebrain for your LMS, Administrators and Content Creators can create and edit Gamebrains in Content Manager.

Enhancements to date reporting

So that you can start to compare data across time, we've given you the ability to count activities or status over time periods. For example, you will be able to create reports which show that in 2019, 20 users failed your data protection assessment - you might then update your data protection course and then use the same report to show that in 2020 everybody passed - proof that your course tweak was successful! To do this, create or edit a report which groups by date fields and choose the format in which the date appears, for example as DD/MM/YYYY. This allows you to report and display by year, month, day and hour and compare data over your defined time periods.

How does it work?

Build a new report from scratch or edit an existing one. In the Field Selection tab, select the fields to appear in your report as columns. Search for the relevant date field(s) in the Available Fields list and click Add to add it to the Group By selection. Select the date field in the Group By area and click on the pencil icon to edit it. Click on the Format drop down to choose from the following formats:

  • Day/Month/Year and time
  • Day/Month/Year and hour
  • Day/Month/Year
  • Month, Year
  • Year

When you run your report, the date fields will appear in their chosen format.

To count by date ensure that you have a date field in your report, click on the field that you want to count and select the edit icon. Choose count for that field and save your report. The report will now give you the number of that field for the date range selected.

Who can use it?

Administrators and Report Administrators can create and edit reports.

Export an eCreator course as a SCORM 1.2 package

You can now export eCreator courses as a SCORM 1.2 package, allowing you to create engaging content on the Access LMS and then upload and host the content on a 3rd party LMS.

How does it work?

If you are using a full Access LMS solution, navigate to the Details tab of an eCreator activity from Content Manager. Click Download SCORM to begin the download.

This will download the full course package and can be hosted on any SCORM compliant LMS. There is no dependency on hosting on an Access LMS or ContentServe. Updates to courses will need to be made on the Access LMS and be downloaded and uploaded each time.

You can only download content that you have permission to edit so this feature excludes off-the-shelf licensed content.
