Access Lite, Learning and LMS Release Notes 9.8

This month’s release sees us expand the Sliding Banner functionality, allowing you to use up to 20 Sliding Banners on the homepage of your Access LMS. Our Learning Path app is now fully compatible with Workspace and users can login in with their Workspace credentials. We’ve extended data import functionality, improved the way you report on certification status across your organisation and introduced an additional navigational language to the LMS.

Corresponding guides and videos will be updated or added to the Knowledge Base over the coming weeks. We are also in the process of migrating the Knowledge Base to the Customer Success Portal, so at the moment you can find some guides in both places. We’ll be letting our customers know when we’ve completely moved over to the portal.

We have indicated which version number each feature will be released in. To check which version your LMS is currently operating on, please refer to this Help Guide.

Create up to 20 Sliding Banners

You can now create up to 20 Sliding Banners in your LMS site enabling you to promote different messages to different groups or organisations.

How does it work?

Navigate to Site Settings via the Menu and click on the Sliding Banners tile. Each time you want to create a new banner click on the ‘plus’ icon and another banner will display under the last. Clicking on the padlock icon enables you to manage the banner permissions to display them for specific audiences.

Who can use it?

Super Administrators can enable and configure Sliding Banners in Site Settings in Access LMS sites.

Leaning Path mobile app is now Workspace enabled

For Access Workspace enabled LMS sites, you can now login to the Learning Path mobile app, with your Workspace credentials.

How does it work?

Enable the Learning Path App on your LMS via Site Settings, download the Learning Path app (Available on iOS and Android) and enter your site ID to begin. For example, if your LMS site URL is https://learningacademy.unicornlms.com, your passcode will be ‘learningacademy’.

Users can then login with their existing LMS or Workspace credentials.

Who can use it?

Any user that has Learning Path enabled on their Access Learning or LMS site.

Mark event attendees as passed or failed

If a face-to-face learning event has a practical or exam element, you can now mark attendees as having passed or failed. This means you can still record the attendance and additionally identify who needs to attend the event again if they don’t pass. It will not mark the Event Programme as completed until they have both attended and passed an Event. If a Certificate is enabled on the Event or Event Programme, this will not be awarded to any attendees marked as failed.

How does it work?

Navigate to an Event via Content Manager and go to the Users tab. Click N/A in the Success Status column to change the status. You can also tick multiple users and change the success status from the Actions dropdown menu.

If you mark an attendee as failed, it is a mandatory requirement to leave a comment in the Notes box.

You can pull this information into a report by using the Success Status field.

Who can use it?

Administrators can manage event attendance in the Users tab of an Event on their Access LMS site.

Easily report on certification status

You can now use the ‘Is Certified’ field to see who is Certified/Not Certified at a glance when reporting on certification rates across your organisation.

How does it work?

Create a new report or use ‘Save as’ to edit one close to your requirements in the Reports area of the LMS. Add the ‘Is Certified’ field in the Field Selection tab of the report. You may also wish to add the field as a filter in the Filter and Sorting tab, so that you can easily filter by Certified or Not Certified.

Use the field in a chart or pivot table report for a visual representation of your staff’s certification rates.

Who can use it?

Administrators and Reporting Administrators can create new reports and edit existing ones on their Access LMS site.

Gamebrain App September Release

We’ve made a number of improvements to the Gamebrain learning app over the last few weeks, including a new profile screen enabling you to track your in-game stats. In addition to this, you’ll notice an updated in-game interface along with the ability for players to exit or restart their quiz attempt without having to wait for the time to expire.

How does it work?

Navigate to your avatar customisation page and tap the new profile icon in the top right to be taken to your stats screen.

Who can use it?

All Gamebrain customers will benefit from this update.

Profile document enhancements

You can upload documents to user profiles in bulk using a data import. It is now possible to set an expiry date for these documents on the import. When the date has passed the document will automatically be removed from the user’s profile. This is useful if you use the profile document feature to store documentation and you want it to expire after a set amount of time.

We have also introduced the option to notify the user when new documents are uploaded to their profile by the Administrator when specified in the data import.

How does it work?

As part of a document data import, populate the ‘ExpiryDate’ column with the desired expiry date for each document being imported.

In the ‘Notify’ column, enter True if you would like the user to receive an email notification advising them that a new document has been added to their profile. If you don’t want the user to be notified, enter False.

This functionality can only be used to set expiry dates on new documents - existing documents on a user’s profile will need to be removed manually.

Set completion dates for exempt activities using a data import

You can now specify a completion date for users who have been marked as exempt on an activity. This is useful if you need to update historical training records and want to import the completion date.

How does it work?

When importing activity completion data to the LMS, the completion date can be added to the DATE_COMPLETED column of the dataset.

Who can use it?

All enterprise Access LMS customers. If you would like to discuss setting up a new activity data import or making amendments to an existing one to utilise this functionality, please contact your Access Account Manager.

View the LMS in Traditional Chinese

You can now navigate around the LMS in Traditional Chinese by selecting the Chinese option from the Languages dropdown menu.

How does it work?

Select the Traditional Chinese language option from the languages menu either at the top of your LMS window or within the Settings tab of your profile. All system text within the LMS will change to your chosen language.

Who can use it?

Any customers that have turned on multi language support in system settings for both Access Learning or LMS.
