Unicorn LMS Release Notes 8.8

Unicorn LMS 8.8 increases the flexibility of Forms by allowing you to assign System Roles and User Groups as owners of, or contributors to, stages in the workflow. We've also introduced the ability to convert standard Form fields to any Personal Custom Fields already set up in your LMS, improving the automation of your Form Templates. A new filter in the Organisation and Users area allows you to quickly identify which users hold a specific System Role such as Administrator or Content Creator.

System Roles and User Groups for Form workflows

In Release 8.7 we introduced the ability for Super Administrators to create new System Roles in Site Settings. You can now assign these System Roles as the owner of, or contributor to, a stage in a Form workflow. In addition to this, you can also assign specific User Groups as owners or contributors.

How does it work?

Whilst editing the workflow of a Form Template, click add an owner or contributor in the relevant stage of your workflow. In the dropdown selection you will see Specific User Group after Specific User. Any Additional System Roles you have created and specified to be used in Form workflows will also be listed. Selecting Specific User Group will allow you to search for the User Group in the search box. If you are adding a contributor, you can add multiple User Groups or System Roles.

If a User Group is made an owner of a stage in a workflow, anyone in that User Group will be able to access the Form at the appropriate stage of the workflow in the usual way. E.g. through the My Team Activity dashboard, My Actions or from the user's profile. You can add a central email address to the User Group information to ensure all members of the User Group are notified when a Form is ready. Super Administrators can do this by navigating to Groups from the menu under System. Search for and select the relevant User Group. Click on the Group Settings tab on the left. In this tab you can enter a central email address. When a Form moves through the workflow a notification will be sent to this email address.

How do I get it?

Super Administrators can edit Form Templates and assign owners and contributors. Released in 8.8.25.

Convert Form Fields to Personal Custom Fields

You can convert existing Form Fields to Personal Custom Fields. Personal Custom Fields make it easier to leverage existing user data held within the LMS. If you have Form Templates which use manual Text Input, Date Input or Selection Fields, this feature allows you to easily link the fields to existing Personal Custom Fields, pulling or pushing information between the form and the Users Profile. It also means you can store data from one form in a Personal Custom Field, in the Users profile and populate another form with that data. For example the completion date of an appraisal can populate the users profile and be pulled into a fit and proper form.

How does it work?

First create the field in the Personal Custom Fields area in the users profile. Then in your form, navigate to the Layout tab whilst editing a Form Template. You can convert existing Text Input, Date Input or Selection Fields to Personal Custom Fields by clicking Link to Custom Field when editing the Field. A popup will open where you can select the Custom Field you want to link to. You can only link to a Field of the same type - for a example a Date Input Field can only be linked to a corresponding Date Input Personal Custom Field.

You can choose to pull the data from the user's profile, or push the data entered whilst the Form is in progress, back to the user's profile.

How do I get it?

Super Administrators can create and edit Form Templates. Personal Custom Fields can be created and managed in Site Settings. Released in 8.8.3.

Filter by System Role in Organisation and Users

In Release 8.7 we introduced the ability to create custom System Roles. To allow you to more easily search for Users who hold a particular role, we have introduced a new filter to the Users tab of the Organisation and Users area.

How does it work?

Navigate to Organisation and Users via the Menu or the Common Tasks Portlet. Click on the Users tab to see a list of Users. Click the All Roles dropdown to open a list of System Roles - select a role to return a list of Users who hold that role.

How do I get it?

Administrators and Super Administrators can access Organisation and Users via the Menu. Released in 8.8.4.

Enhancements to recommended CPD hours

You can set recommended CPD hours or a CPD value at both an Activity and a Pathway level. For Pathways, the CPD will automatically be calculated using the CPD hours of each child Activity within the Pathway, if CPD has been set on those Activities. You can choose to overwrite the recommended hours or value with a figure of your choosing. To make it easier to determine whether a Pathway is using the calculated recommended CPD hours, or if a customised figure has been entered, 'calculated total' or 'customised total' will appear next to the CPD total.

How does it work?

Navigate to the administration area of an Activity or Pathway via Content Manager, and click the Advanced Settings tab. Under CPD, you will see the Recommended CPD Hours and CPD Value boxes. If the calculated total is being used, click Edit to enter a customised value. If the value in either box has been customised, click Reset to return the value to its original calculated total.

How do I get it?

Administrators and Content Creators can access the Advanced Settings tab of an Activity from Content Manager. Released in 8.8.0.
